Terms & Conditions

HSDT is an abbreviation for Havana Salsa Dance Tours.

Whilst completing your booking with HSDT, you agree to and accept all conditions below herein, forming a contractual agreement with HSDT.

1. Paying for Your Holiday
A non-refundable deposit is required to confirm your arrangements. Full payment must be made no later than 10 weeks before departure. If the balance is not fully paid on time, your booking may be treated as cancelled, invoking cancellation charges listed in section 2. Late bookings (within 10 weeks of departure) require immediate full payment.

2. Cancellation of Your Holiday
Payments are non-refundable for cancellations made 21 days or fewer before departure. Cancellation requests must be submitted in writing by the lead traveller.

If part of your group cancels, the remaining group’s costs may increase due to adjustments such as single room supplements.

3. If HSDT Changes or Cancels Your Holiday
HSDT reserves the right to modify or cancel bookings due to unforeseen events such as war, terrorist threats, adverse weather, or similar circumstances. If cancellation occurs, you will receive a full refund. Necessary changes for traveller safety will not qualify for compensation, though alternative arrangements or refunds will be offered.

4. Passport, Visa, and Health Requirements
You must ensure you have all necessary travel documents and a valid passport (valid at least 6 months beyond your departure date from Cuba). Obtaining a Cuban tourist visa card is your responsibility. You must also arrange flights and comply with passport and visa requirements for any transit or stopover countries.

Due to political conditions between the US and Cuba, non-US citizens/residents should avoid routes via US stopovers or US airline carriers. Recommended alternative routes include European cities, Canada, Mexico, or Panama.

5. Insurance Adequate travel insurance is mandatory. You are responsible for ensuring your policy covers your specific needs. HSDT is not liable for lost or stolen luggage; claims should be directed to your airline or insurance provider.

6. Behaviour You accept responsibility for your own conduct. HSDT or other authorities may terminate your holiday without refund if your behaviour endangers or disturbs others, or damages property. You are fully responsible for any damages caused.

You acknowledge and agree to respect Cuban laws and customs. Non-compliance may result in imprisonment, for which HSDT assumes no responsibility.

7. Medical
Your health and safety are your responsibility at all times. You undertake activities, outings, and dancing at your own risk. It is your responsibility to obtain medical advice regarding vaccinations and inoculations. HSDT bears no liability if you fail to take necessary medical precautions.

8. Holiday Price Exclusions
The standard tour cost excludes:

• Lunches and dinners in Havana & Trinidad
• Club entrance fees
• Drinks
• Taxis around Havana, Trinidad, or Varadero
• Optional events listed in the itinerary
• Cuban Tourist Visa Card

HSDT reserves the right to adjust prices.

Full Board Pre-Bookable Meals Upgrade
If you select the Full Board Upgrade, meals in Havana & Trinidad include:

• Breakfast in the Casa Particular
• Lunches and dinners at group-selected cafes and restaurants
• One drink per meal
• Certain menu items may incur an additional charge, as advised by your Tour Leader.

9. Tailoring Your Tour
If you tailor your tour by shortening or extending your trip, additional charges apply for airport transfers, extra nights’ accommodation, tour guide services, and other relevant costs.

10. Data Protection/Privacy
Personal information provided during booking is used solely for arranging your travel and may be shared with security and immigration authorities. HSDT may retain your contact details for future marketing purposes.

You agree that photos taken during the holiday by HSDT or other travellers may be used for promotional purposes. If you prefer not to have your photo taken or published, you must inform fellow travellers and HSDT staff at the start of your trip. You agree not to publish photos of travellers who have explicitly requested privacy.

Your reservation for this holiday cannot be accepted unless the terms and conditions form is accepted, signed and sent back to Havana Salsa Dance Tours (HSDT) with your completed booking form.

By signing the booking form the named person accepts all the terms of the booking conditions and a contract between you and HSDT will come into being.

1. Paying for your holiday

Payment of the full balance must be made at least 10 weeks prior to departure. If the balance is not paid in full and on time, HSDT reserve the right to treat your booking as cancelled by you in which case the cancellation charges set out below in clause 2 will become payable.

Late bookings must be paid for in FULL (if booking within 10 weeks of departure).

In order to confirm your chosen arrangements, you must pay a non-refundable deposit.

2. Cancellation of your holiday

Monies are non-refundable if cancellation is made 21 days or less before departure. To cancel your holiday a letter from the ‘lead name’ must be written to HSDT, on receipt of that letter we will cancel the holiday. Since we incur costs in cancelling your travel arrangements, you will have to pay the applicable cancellation shown below:

Please note, if only some members of your party cancel, in addition to incurring the applicable cancellation charges, we will recalculate the holiday cost for the remaining travellers. You may have to pay the extra room charges such as single room supplements.

3. If We Change or Cancel Your Holiday

HSDT begins planning the arrangements we offer many months in advance and so we reserve the right to make changes both before and after bookings have been confirmed.

We must also reserve the right under any circumstance to cancel confirmed bookings at any time. Where we are unable to provide the holiday booked, you will be refunded all monies paid.

HSDT will not be held responsible if forced to cancel or change a holiday due to war, treat of war, terrorist activity, adverse weather conditions or possible events outside of our control. We shall not be liable for any changes either before departure or during the holiday, which in our opinion are necessary to protect your safety. In this event, we will offer you suitable alternative arrangements, or if you do not travel, return the monies you have paid us.

4. Passport/Visa/Health Requirements and Travel Documents

It is your responsibility to ensure that you are in possession of all necessary health and travel documents before departure.

I understand that I must have a full and valid passport that is valid for at least 6 months after my departure date from Cuba.

I am aware that obtaining a visa is my responsibility (if that option is selected). I understand that it is my responsibility to book my flights and ensure that I meet all the passport and visa regulations for the connecting country within which I am transiting through or stopping over.

5. Insurance

We consider adequate travel insurance to be essential. Please read and take with you on holiday. It is your responsibility to ensure that the insurance cover you purchase is suitable and adequate for your particular needs.

I am aware that HSDT is not responsible for the loss or theft of any of my luggage, and that all claims need to be directed to the Airline or your holiday insurance provider.

6. Behaviour

When you book a holiday with HSDT you accept responsibility for the proper conduct of yourself. If we or any other person in authority is of the reasonable opinion that you are behaving in such a way as to cause or be likely to cause danger or upset any other person or damage to property, we will be entitled to terminate the holiday of the person (s) concerned. The person (s) concerned will be required to leave the accommodation and we will have no further responsibility to them including any return travel arrangements. No refunds will be made and we will not pay any expenses or costs incurred as a result of the termination. You will be responsible for making full payment for any damage caused by you
during your time away.

I acknowledge I am responsible for my own conduct on holiday and that I take full responsibility for my health and safety. Cuba is a communist country and their laws and customs are different to other countries. I agree to abide by Cuban law and failure to do so may result in imprisonment. I understand that HSDT cannot take responsibility for my participation in any criminal activity.

7. Medical

I am aware that my health and safety is my responsibility. Cuba adheres to different levels of safety and hygiene, therefore my well-being and safety during my holiday is my responsibility at all times. All activities, outings, dancing undertaken whilst on the holiday, is completely at my own risk and cannot be the responsibility of HSDT.

I am aware that it is my responsibility to seek medical advice with regards to inoculations and vaccinations. HSDT cannot accept liability for any passengers who do not seek advice or who are not adequately protected.

8. Your Holiday Price

I am aware that the cost of the holiday does not include: Club entrances, drinks, lunch and evening meals, Taxis around Havana, any events listed on the itinerary as an optional extra, Cuban Tourist Visa card.

HSDT endeavours to ensure that the most up to date and correct prices are shown on our website. HSDT reserve the right to raise or lower our prices.

9. Data protection/privacy

In order to process your booking, we will only use the supplied information to pass onto the relevant suppliers of your travel arrangements. This information may also be provided to security companies and customs/immigration. We will not share your information with any other third parties. We would also like to hold your information (including email addresses), where collected by us for our own future marketing.

I agree that all photos taken on the holiday by HSDT and our holiday group can be published by HSDT for promotional purposes and posted by other clients.

If I do not wish to have my photo taken or published I will make this clear to all clients, and to HSDT staff on the trip at the beginning of the trip.

I agree not to publish any photos of individuals on the trip if they have directly expressed a wish not to be photographed or have their photo published. I will respect the privacy of all clients on the trip.
